Who has to complete Annual Compliance & HIPAA Training?

NCBH employees, Subsidiary employees, students training at NCBH, and volunteers must complete the Annual Compliance & HIPAA Training.

If I received compliance training during New Employee Orientation, do I have to complete the Annual Compliance & HIPAA Training?

YES!  If you arrive before or during the Annual Training open period.  The training received during New Employee Orientation is an introduction to our compliance culture.

However, if a new employee arrives after the Annual Training's open period has closed, we ask that they set aside time to access and become familiar with the training contents.  The training will remain open each year on the InfiNet's homepage until the last week in December.

How do I check to see if one of my employees has completed the Annual Compliance and HIPAA training?

Directors, Managers, and Supervisors can monitor and tract participant completion using the Tracking Database.  Contact the NCBH Compliance Office at 336-713-4949 for the link.

How do I access the Annual Compliance & HIPAA training?

The annual training is in a web-based format that is available 24 hours a day and can be accessed through a link provided on the InfiNet homepage (scroll down on the right side of the page).

Can I access the Annual Compliance & HIPAA Training link from my home computer?

YES!  Those employees who have remote access to their work computer from home can access the training.  However, most employees will not have this ability and must access the trainingn from work.

If I don't know my social security number (SSN) can I complete the training and get credit.

YES!  Although it is preferable for those accessing the annual training to use their SSN, an employee can be identified if all other requested fields of information are accurate (employee's name as shown on payroll, department name and number, etc.).

However, the best way to ensure you receive credit for completing the training is to provide the correct information on the confirmation sheet and then press submit.  Your SSN can be verified through the Human Resources department.

As a new House Officer, can I access the Annual Compliance & HIPAA Training before reporting to the Medical Center?

YES!  You can access the training by going to the House Officers' website. Since this website is located outside of the Medical Center's firewall you can access the training from any computer connected to the Internet.

What should I do when I discover other employee's names listed under my department number?

Nothing has to be done.  On the confirmation sheet we ask for several fields of information to help us identify the participant.  Considering the Hospital has a total number of employees exceeding 7,500, it is not surprising that some employees won't know their department number or know it but enter it incorrectly.

Using the Tracking Database link a participant can be identified through searches by their: department name, department number, last name, and first name entered in the last name block or throught known nicknames.

At the end of the training open period, the Tracking Database will contain all entries submitted, which includes duplications, blank entries, incorrect department numbers, names, etc.  This will in no way affect our ability to extract those participants who entered the appropriate information.

The information contained within the Tracking Database will be matched with payroll for all NCBH employees to identify those employees who completed the training.  All Subsidiaries and the Volunteer Office must track their employees/volunteers' participation.
